Scheduling, person by person
A schedule is no use if you have to read three crews' worth of it to find your own day. Everyone gets theirs, and the manager keeps the overall view.

Approvals do not stop when you go away
The approver is the one who knows they are away, so they are the one who names their stand-in — without going through an administrator. Without that, the delegation never gets set up and it is the password that ends up circulating.

Risks come to you
